Implementing the right improvements allows you to speed up order fulfillment, reduce manual operations, and minimize the risk of errors. As a result, companies can handle a larger number of customers and orders without a proportional increase in headcount. This can be achieved through:

Automatic data synchronization between various types of wholesale software is possible thanks to properly configured integrations. System integration itself is not yet automation, but it creates the foundation for automatic data flow and the triggering of subsequent processes. Such system connectivity allows for:
retrieving current stock levels, even if sales are conducted simultaneously across multiple platforms – this ensures customers see real-time product availability,
automatically pulling the latest prices from the ERP system and updating them on the B2B platform,
implementing various pricing rules, such as automatic price updates for specific contractors, customer groups, or price lists.
Thanks to such integrations, data can flow between wholesale systems almost immediately after any change. This reduces the risk of errors and creates a foundation for more advanced automations. One of these is automatically notifying the customer about an order status change, which we cover in the next paragraph.

Automating the sale of variant products and substitutes

Automation allows this information to be used when preparing offers, making it easier for wholesalers to select solutions that are more favorable to clients in terms of price or availability.
This can work, for example, by:
automatically checking prices and availability with suppliers – the system can integrate data from ERP, WMS, price lists, and supplier APIs. If your own warehouse cannot fulfill the entire order, the system can automatically check which supplier has the missing items, at what price, and with what delivery time,
automatically preparing variant offers – if a product differs by only one parameter and a substitution is acceptable, the system can prepare an alternative version of the offer and show the customer how the change affects the total order value.
This means the sales representative no longer has to manually compare multiple products and suppliers, and the customer receives an offer that accounts for both availability and potential savings much faster.
Using AI for automated order management
The most advanced form of B2B order automation is the use of artificial intelligence. Unlike traditional rules that operate on structured data, AI can also analyze the content of emails, documents, and attachments sent by customers. As a result, AI in a wholesale environment can support tasks such as classifying inquiries and orders, reading product lists, verifying data completeness, and routing cases to the appropriate sales representatives.
This is particularly important for companies where customers do not rely solely on a B2B platform but continue to send inquiries and orders via email, attachments, or during phone calls. AI can extract relevant information from such communications and convert it into structured data, which then enters the subsequent order management process.

Case study: Implementing AI automation for customer service at Anda Śruby
Anda Śruby is a fastener wholesaler serving many business clients. As the number of inquiries grew, the company looked for a way to streamline its sales process and relieve sales staff of the most repetitive tasks. A large portion of inquiries arrived via email, often with attachments containing numerous products and their technical specifications.
The main problem was that the sales representative had to manually analyze the message and attachments, identify individual products, and check customer information and item availability across the company's systems. For complex inquiries, this meant a lot of manual work before even preparing the offer itself.
