Well-planned order fulfillment automation helps reduce manual tasks, minimize the risk of errors, and handle a growing number of customers more efficiently. This is particularly important in e-commerce, where as sales grow, it becomes increasingly difficult to control all stages of order fulfillment without properly connected systems.
Below, we present solutions that can streamline processes, thereby shortening order fulfillment times and relieving the burden on staff responsible for sales, warehousing, and shipping.
In most online stores, basic order management functions are available directly within the e-commerce platform's dashboard. However, problems arise when a company uses several independent sales channels or additional systems. This applies, among others, to stores that simultaneously conduct retail and B2B sales, use marketplaces, accept some orders via email, or handle in-store sales. In such situations, data on orders, products, and stock levels can be scattered across several different places.
Integrating the order process with ERP, OMS, or WMS systems allows you to consolidate this information into a single, coherent data flow. An order placed in an online store can automatically go to the warehouse system without the need for manual entry. At the same time, product availability information can be synchronized in real-time across individual sales channels. Such a solution reduces the risk of selling products that are no longer physically in stock and allows for much more efficient execution of subsequent order stages. As the number of transactions grows, system integration becomes not just a convenience, but a way to scale sales without a proportional increase in manual operations.
Integrating your store with courier systems is one of the most fundamental yet impactful improvements in daily order processing. Instead of logging into each courier's portal separately and manually entering shipment details, an employee can prepare shipments directly from the system used to manage the store.
Customer data, delivery address, selected shipping method, and shipment information can be automatically transmitted to the carrier. Based on this, the system generates a waybill or label, which simply needs to be printed and attached to the prepared package. This reduces the number of manual tasks and, consequently, the risk of errors when transcribing data. Integration can also streamline scheduling courier pickups, managing different carriers from one place, and sending tracking numbers to customers.
In practice, this means shorter order fulfillment times, especially for stores shipping dozens or hundreds of packages daily. However, the benefits of this type of integration are broader and also extend to customer communication and automatic order status updates, which we will discuss in the next paragraph.

Free consultation"Processing" and "Completed" are standard order statuses available in almost every e-commerce system. However, it is worth expanding them with additional stages that better reflect the actual order fulfillment process, such as "Packed," "Awaiting pickup," or "Handed over to courier."
Such order status changes can occur automatically triggered by specific events. For example, printing a shipping label can set the status to "Packed," while scanning the package by a courier during pickup can trigger "Shipped." Integration with courier systems, such as DPD, allows this information to be sent to the store in real-time without manual intervention.
As a result, order automation not only reduces manual work but also provides the customer with up-to-date information about their shipment. You can also assign automatic email or SMS notifications to each status change.
Manually issuing invoices for every order is one of those e-commerce tasks that can be easily eliminated. In most cases, simply integrating your store with an accounting or invoicing system is enough to have documents created automatically, for example, once an order is paid.
Customer data, order items, and totals can be pulled directly from the store, so staff don't have to re-enter them. Finished invoices and sales documents can be automatically forwarded to accounting and sent to the customer via email.
It is also possible to use electronic receipts instead of paper documents. This reduces the number of steps involved in packing a shipment and, at scale, can significantly shorten order fulfillment times.
Basic notifications, such as order confirmation or payment receipt, are available in most e-commerce systems. However, it is worth linking messages to additional events in the fulfillment process, such as packing the shipment, handing it over to a courier, or preparing it for pickup.
Automatic SMS and email messages can also be used after an order is completed. A good example is a request for a product or store review. Such messages can be sent based on specific rules, for example, only after the second or third purchase, making the communication better tailored to the customer relationship.
In more advanced order processing automation, the system can also generate a discount code after a review is left or send a different message based on the customer's purchase history. This way, automatic notifications support not only order fulfillment but also post-purchase activities and loyalty building.
Chatbots can streamline order processing by handling the most frequently asked customer questions. They are available 24/7, so customers can get quick answers without waiting for a consultant.
The greatest value comes from a chatbot integrated with the entire order fulfillment process. After verifying the customer, it can use real-time store data to answer questions about order status, shipping, payment, or the estimated time for the next stage of fulfillment.
In more complex cases, the conversation can be handed over to a human agent along with the existing context. This offloads simple inquiries from the support team, allowing consultants to focus on issues that require individual decision-making.
Internal logistics automation can also improve order picking. Warehouse staff can receive optimal routes to products on their handheld scanners, reducing the time spent moving around larger warehouses. The system can also automatically assign orders to staff closest to the shelves containing the required products. In larger warehouses, this significantly reduces order fulfillment time.
Order automation can also include selecting the right package size. A few months ago, a company approached our automation agency with a problem regarding the automatic matching of packaging to orders. While simple rules work for products of similar sizes, they quickly fail when dealing with a wide range of products with varying and non-standard dimensions—which was exactly the case for the e-commerce business that contacted us. The solution is to create an automation that calculates in real-time which package is needed for a specific set of products. As a result, the customer receives information about the appropriate shipping method and its cost while placing the order.
Automation certainly doesn't have to end once an order is shipped to the customer. It is also worth applying it to post-sales processes, such as handling returns, complaints, service requests, and post-purchase communication. A well-designed workflow can automatically register requests, route them to the appropriate team members, update their statuses, and keep the customer informed about each stage of the process. This allows a company to reduce response times, minimize manual tasks, and ensure a more consistent customer experience even after the sale is complete.

Currently, many e-commerce and ERP systems come with built-in modules for managing various stages of order fulfillment. These order processing automations often offer automatic status updates, email and SMS notifications, and invoice generation. In most cases, such automations are sufficient for e-commerce businesses.
Building custom automation solutions is primarily used in more specific cases—when an existing system cannot be configured to support a required process or when a company operates in a non-standard way. An example would be a store offering personalized products that take several days or weeks to prepare. In such a case, standard statuses may be insufficient, and the company might want to update the customer more frequently on progress, such as the start of production, completion of personalization, or preparation for shipment. If the e-commerce platform does not support such a scenario, additional automation can be built and integrated with the systems already in use.
