A company from Ireland, which owns a chain of a dozen beauty and hair salons, approached us. The client was using an external SaaS system for salon management, but rising subscription costs and high payment processing fees were a significant drain on their monthly budget. The company was looking for a consulting partner who could help them become independent from the SaaS tool and reduce operational costs.

High SaaS costs
The previous system operated on a subscription model, and its cost increased with the client's business scale. With over a dozen salons, the monthly fees for using the tool became a significant burden, as they amounted to as much as 2,000 euros.
Imposed payment gateway
The existing tool required the use of a specific payment gateway that charged a commission of 2-2.5%. The client had no option to switch to a more competitive solution with a lower commission, even though a large portion of online bookings were paid by card. As a result, transaction costs increased proportionally with the number of visits.
No room for application development
Due to the SaaS model, the client had no control over system development or the ability to implement changes tailored to their own processes. Employees had to adapt their workflows to the application's limitations, which, as the company grew, became increasingly burdensome.
Dedicated web application
We developed a web application that replaced a previous SaaS tool and integrated it with the salon's website. This allows customers to book appointments online, while employees manage service offerings, prices, and duration from an administrative panel — even separately for selected salons.
New payment integration
By switching to a dedicated system, the client gained the ability to choose any payment gateway. We implemented a solution tailored to their business needs, which allowed for a severalfold reduction in online transaction fees and reduced annual system maintenance costs (by tens of thousands of EUR annually).
Receipt Management Module
From the panel, staff can issue a receipt and initiate payment for the service directly on the terminal. The system also allows adding additional services, products purchased during the visit, or issuing a voucher for a selected amount, which streamlines daily sales operations in salons.
Statistics and History Panel
Our custom solution enabled collecting and analyzing data across the entire salon network. Each client has a visit history and employee notes, and the application aggregates information on customer satisfaction, attendance, and team working hours – both planned and actual.
Secure login and access
We have implemented a secure login mechanism that balances user convenience with system protection. Employees log in daily with a quick PIN, but when adding a new user, browser authentication and a standard, strong password are required. The system also supports various application access levels.
Automated mails and SMS messages
Authorized staff can independently edit the content of messages sent automatically to customers. The system supports variables such as first name, last name, or visit date, thereby personalizing emails and SMS messages for reminders, schedule changes, and voucher distribution.
The client reduced monthly system maintenance and payment processing costs.

The team now has a system better suited to the salons' daily operations.
