How does automatic call transcription work?

AI transcription is based on automatic speech recognition, which converts spoken words into text. In its simplest form, you just upload an audio or video file to a tool, which then analyzes the file and creates an accurate transcript of the content.

In business, however, you can take it a step further. Thanks to integrations with platforms like Google Meet or Zoom, call transcription works directly during the meeting, recording key takeaways in real time. Furthermore, even in companies working on-site, it is possible to transcribe phone calls or previously recorded internal meetings. This eliminates the need for manual note-taking by managers or assistants, allowing them to focus 100% on the substance of the conversation. It is worth remembering that "speech-to-text" is just the foundation—the real potential is revealed when we use the recorded content in subsequent stages of business processes. We will talk about this in the following paragraphs.

Using AI summaries in business

Thanks to intelligent automations, video or audio transcriptions can be categorized, tagged, and shared within company CRM systems or project management tools, reducing the time spent on analysis and internal information flow.

Modern transcribers (e.g., Fireflies.ai) can also generate summaries or note key meeting points. Using call records in this way promotes transparency—every conversation with a client, contractor, or business partner can be archived in text format.

If you notice persistent gaps in reports or summaries that should be prepared by your sales team, for example, this solution is for you. Companies using this technology can see improvements in documentation quality, a reduction in errors, and faster information flow between departments. If you haven't yet implemented AI call transcription in your organization, you are not only wasting your team's time but also missing out on the potential to analyze historical data that could give your company a real competitive advantage.

In which areas of a company should you implement AI transcription?

As you can see, AI summaries are becoming a versatile tool that allows companies to increase efficiency and better manage information. The main problems this technology solves are:

  • lack of standardization in meeting documentation,
  • time-consuming manual note-taking—both for internal use and for clients,
  • difficulty in quickly finding key information.

As we mentioned earlier, real-time call records can be integrated with company systems such as CRM or ATS, which means they can be used to automate many internal processes. Below, we present the areas where we most often implement this technology in our projects:

Transcripts from recruitment processes

During job interviews, recruiters often manually note down candidates' answers, which can distract them. Automated transcription eliminates this problem. Thanks to a transcriber, the entire conversation is recorded automatically, and the recruiter can return to it at any point in the recruitment process.

Additionally, thanks to integration with ATS systems, the automation can detect which candidate the recruiter spoke with and assign the conversation content to their profile. This allows the system to extract the most important information, such as experience, salary expectations, or strengths and weaknesses. Moreover, AI can immediately evaluate the candidate and provide the recruiter with preliminary recommendations to shorten the decision-making process. Of course, AI recommendations are not a necessary element of automation, as the ability to review or listen to the conversation again is already a significant help for the HR team.

Automatic summaries that boost B2B sales productivity

In sales departments, recording client calls allows for a significant acceleration of the entire service process. By converting audio to text, AI can analyze the meeting and, based on it, suggest tasks for salespeople in the CRM system (e.g., sending a quote or scheduling the next meeting for a day agreed upon with the lead during the call). Additionally, if you have an extensive database of historical data, AI can use it to create personalized offers or follow-up messages.

The ability to read or listen to historical conversations is also a great way to train the sales team—managers can analyze calls, point out best practices or mistakes, and improve the quality of the sales process based on historical results.

Automatic transcriptions can also benefit our clients—every participant in a sales meeting can receive an AI summary or even the full transcript (if it contains elements we do not want to send to clients, the salesperson can edit the generated text). Such information sent to the client after a meeting increases the transparency of the sales process and builds trust in our company. Analyzing customer service and call center conversations

In customer service, creating transcripts allows us not only to document conversations but also to perform sentiment analysis. How does it work? AI recognizes customer emotions (e.g., frustration, satisfaction) and assigns priorities to tasks accordingly. This enables the customer service team to respond immediately to the most critical issues and personalize communication—for example, by offering discounts or additional support to customers who have experienced problems. By analyzing historical audio files of conversations with our customers, AI can also predict their needs to automatically suggest accessories or product extensions, which directly impacts sales growth and customer loyalty.

What did the implementation of automation using transcription look like for our client, Anda Śruby?

One of the companies that approached us was struggling with time-consuming quote preparation. Customer service staff would take product orders over the phone and write down the names in Excel. After the call, employees had to manually search for the product codes required to create a quote in the internal database. If the order was large, the quoting process for a single order could take up to an hour.

How did we solve this problem? We implemented an integration between VoIP-based phone call transcription and our client's CRM (HubSpot). Thanks to this, AI can now independently prepare a quote based on data from the sales system. The role of the customer service representative has been reduced to simply conducting the phone call and verifying the accuracy of the generated quote. Recording customer calls and the subsequent automation have allowed Anda Śruby to save up to 200 hours per month. What should you look for when choosing a transcription tool?

Choosing the right automated transcription solution affects not only your workflow efficiency but also the quality and security of the processed content. Below, we outline the key aspects to consider before deciding to purchase a tool subscription.

Integrations with other tools

AI transcription is most effective when the tool can connect with the systems your organization uses daily. This makes it easy to record and transcribe meetings without having to manually transfer files between tools. Such a 100% automated transcription process helps reduce errors caused by manual handling (e.g., when assigning audio file transcriptions to a specific lead in a CRM).

Solution pricing

Subscription costs often depend on many factors, such as the number of users, access to advanced features, or editing options. It is worth comparing pricing models, paying attention to whether the fee covers only the transcription of uploaded files or also includes real-time features. Sometimes it pays to invest more to get better quality and faster content transcription.

Data security and privacy

When processing conversations or audio transcriptions, pay special attention to how data is stored and secured. The tool you choose should ensure compliance with regulations such as GDPR and may additionally feature modules for transmission encryption. If you want to use features that leverage artificial intelligence, pay close attention to the type of information your company will process in the AI model. We wrote more about data privacy in automation in our article: https://www.sagiton.pl/en/blog/automation-processes-and-data-security. When recording conversations with clients, also remember the requirement to inform the other party each time.

Transcription process accuracy

High transcription accuracy is a key element, especially when you need to use the text quickly without the need for manual corrections. There are tools capable of transcribing while accounting for different accents, speech rates, and context based on advanced AI models.

What is the best AI transcription software?

Choosing the best transcription software depends on what exactly you need the technology for. Today, AI enables the generation of transcriptions from many sources – from online meetings and audio files to video transcription. Below, we present a list of the most interesting tools tailored to different formats:

1. Real-time transcription for online meetings

If you want to use speech recognition technology for quick content transcription during video conferences or webinars, it is worth finding a solution that integrates with popular platforms such as Zoom, Google Meet, or Microsoft Teams.

Example tools:

  • Gemini – an AI solution from Google that enables video transcription during Google Meet meetings.
  • Otter.ai – automatically recognizes speakers and creates notes and summaries using AI. It supports English and offers speaker identification.
  • MeetGeek – perfect for team meetings; it generates AI summaries and helps track key decisions.
  • Fireflies – integrated with most video conferencing platforms; it enables recording, transcription, and conversation analysis.

2. Audio transcription from phone microphones and automatic note-taking

For those who need to quickly convert audio recordings or voice notes into text, mobile apps with speech recognition are available. This type of audio transcription is useful, for example, if our sales representatives work in the field and we want them to be able to create and send reports without access to a computer.

Example tools:

  • Notta – a mobile app that enables transcription directly from the microphone. It supports multiple languages.
  • Temi – a simple and fast audio file transcriber; it offers an automated transcription service at an affordable price.
  • Google AI Studio – an experimental tool from Google that uses artificial intelligence (AI) for natural language processing (NLP).

3. Video transcription

If your goal is to transcribe video, such as webinars, vlogs, or business meetings, it is worth using tools that not only automatically transcribe video but also allow you to edit the transcript and export it to various formats.

Example tools:

  • Trint – enables video transcription and automatic speaker separation. Ideal for creating blog posts based on recordings.
  • Sonix – supports over 30 languages, offers automatic translations, and provides fast transcription of video content.
  • Beey – particularly recommended for transcribing educational and marketing videos.

Which transcription tool do we use most often? At Sagiton, we have chosen to use Fireflies, as it is a tool that fits our operational needs. It has many native integrations and useful extensions that allow us to get meeting transcriptions without extra effort – the most important Fireflies features (in our opinion):

  • Integration with video conferencing platforms: Google Meet, Webex, and others.
  • AI summaries: instant summaries of key meeting points.
  • Automatic speaker identification: makes subsequent analysis and archiving of conversations easier.
  • Transcription search: thanks to natural language processing, you can quickly find specific parts of a conversation.

By using transcription at Sagiton, we not only streamline our team's work but also gain the ability to quickly analyze and repurpose content in written form – for example, in newsletters, blogs, or reports. Thanks to transcription, we can create high-quality materials without having to listen to content, which in many cases would be very time-consuming.

Sales automation — handling leads from your phone

In the world of sales, response time is important — we know this from our own experience. A potential customer who fills out a contact form expects a response almost immediately. Meanwhile, many salespeople still have to jump between systems, check emails, manually fill in data in the CRM system, and create dozens of listings a day. The effect? Lack of time to contact the customer and lost sales opportunities. Read our article and learn how, with sales automation, allow salespeople to efficiently handle leads from one place. Ps. the automations we describe are created with mobile-first in mind, so they are effective even for teams working in the field or for those salespeople who attend many meetings every day and do not have time to look into the computer.
