How much does business process automation cost in 2026?

Currently, the cost of implementing automation ranges from EUR 500 to several tens of thousands of euros. The price of this type of IT service depends primarily on three factors, which we will discuss in the following paragraphs.

To give you an idea of what an investment in automation might look like for your company, we have prepared a few examples of our quotes:

  • Automation enabling, among other things, two-way synchronization of inventory levels between two e-commerce systems – EUR 1650

As you can see, the prices for these automations vary significantly. In most cases, the cost is driven by the number of hours specialists must dedicate to designing, coding, and testing the system. Typically, automation agencies charge for an hour of a qualified specialist's work between EUR 50 and 100. However, this is not the only cost we must consider in an implementation quote – we will discuss this further in the following paragraphs.

What determines the price of automation?

If you are wondering how much you would need to pay for business automation in your specific case, it is worth analyzing 3 key aspects:

  • the scope of the automation,
  • who will be implementing these improvements for you,
  • and which automation tools the implementer will use.

Below, we expand on each of these aspects individually to show you how they influence the costs associated with automation.

Project scope

Pricing for process automation depends largely on the project scope, which primarily means how many processes and company areas we want to streamline. The more tasks we automate, the more time is required to design, implement, and test the entire solution.

The difference can be significant. If we want to automate one simple process, such as archiving invoices in the finance department, the implementation might take just a few hours of work. Conversely, automating several repetitive processes in the same department could require over 100 hours. Projects spanning multiple departments and many interconnected processes can take anywhere from a few months to over a year for large enterprises.

However, this does not mean you have to automate the entire company at once. Especially in small and medium-sized enterprises, it is usually best to start with one process that is relatively easy to improve and can quickly generate significant savings. This way, the benefits from the first automation can partially fund subsequent improvements.

Before starting a project, it is worth determining which processes are worth automating first. At Sagiton, before proceeding with automation, we recommend conducting a process audit. Most entrepreneurs face a choice – whether to hire a specialized automation agency or a freelancer to automate internal processes. One of the main factors influencing this choice is price – as a rule, a freelancer has a lower hourly rate than an automation agency because they operate independently and do not need to factor the overhead costs of a multi-person company into their pricing.

However, it is worth noting that a lower hourly rate does not always mean the total cost of automation will actually be lower. More experienced individuals or those working with a full team, including a Project Manager, tester, or designer, generally not only deliver higher-quality software but often work faster than a freelancer who must perform all tasks alone without team support. Therefore, it is impossible to state definitively which solution will be cheaper – as a general rule, a freelancer will be more cost-effective for small implementations and systems (e.g., up to a dozen or so man-hours), while an agency is better for larger, complex projects.

Tools and technologies used

The final aspect that influences how much company automation costs is the tools and technologies used. They affect the budget in two ways.

The first is monthly tool costs – most automation solutions require a subscription-based payment model. Tools that enable system integration and task automation, such as Make, n8n, or Zapier, have their own pricing plans. In most cases, these costs are paid directly by the company to the software provider, rather than to the implementation partner. Depending on the scale of usage, this can range from several dozen to several hundred euros per month. For example, the 2026 price list on Make.com shows that the Core plan starts at 16 USD per month for the lowest number of credits. Since fees depend on factors like usage, costs may be higher when managing multiple processes. For some tools, self-hosting is also an option; in that case, instead of a platform subscription, you must account for costs such as server maintenance and environment management.

The second aspect is choosing the right systems. Building the right automation infrastructure is crucial to the success of the entire project. An poorly chosen tool may prove insufficient during implementation if its capabilities and limitations are not thoroughly analyzed beforehand. For instance, you might find that a chosen solution, despite being cheaper and more efficient in many applications, does not support the required number of API calls or fails to perform a key function. Selecting project technology is another aspect worth considering when choosing an implementation partner. Automation agencies generally have more experience in designing system architecture, which reduces the risk of costly changes resulting from poorly selected technologies.

AI automation – how much does it cost to implement AI in a company

AI automation is often an extension of standard workflow automation that incorporates artificial intelligence. Most automation companies today are also capable of integrating processes with AI, so the pricing for AI automation in medium-complexity processes does not necessarily differ significantly from traditional automation.

An additional cost that must be taken into account, however, is token usage. When using LLM models, such as OpenAI models, as a regular user, we typically pay a subscription fee. However, when integrating models with automation via API, fees are also charged based on model usage. The amount depends on factors such as the number of tokens processed – if the AI analyzes a long prompt and a large amount of data each time, the cost per call will be higher than for simple queries.

For example, at Sagiton, we created a demo for automating e-commerce competitor analysis. Each time the workflow ran, it sent a product EAN code and an auction link to ChatGPT, and the AI's task was to find and classify information about competing offers.

Next, n8n received the data and generated a PDF report based on it. Obtaining the information needed to prepare a 2-3 page report cost about EUR 0,35-0,5 per run in this case. Although this is a small amount per unit, it should be included in the AI automation valuation if the process is performed frequently.

Automation ROI – how to calculate it and what it usually amounts to

Automation ROI allows you to assess whether an investment in automation is profitable. While ROI itself determines the percentage return on investment, in the case of automation, the payback period is also often analyzed, i.e., the number of months required for the generated savings to cover the implementation cost.

For example, if preparing contracts takes a specialist 20 hours a month and their labor cost is EUR 20 per hour, then manually performing the process costs the company EUR 400 per month. If the automation streamlining this task costs EUR 1200 and reduces the workload by 50%, the company saves about EUR 200 per month, and the investment will pay for itself in about 6 months. Once this point is reached, subsequent savings begin to represent a financial benefit from the implementation.

In our analyses, we treat automations with a payback period of less than 10 months as highly profitable, those with a return within 10–24 months as profitable, and those over 24 months as moderately profitable. A very long payback period may mean that automating a given process is not economically justified.

When evaluating, however, it is also worth considering benefits that are harder to convert directly into currency, such as fewer errors, faster customer service, or the ability to allocate employees' time to more valuable tasks.

Case study: Discover the cost of B2B company automation

For one B2B company, we automated the handling of leads coming from four different contact forms. Previously, all inquiries were handled manually, and sales representatives decided for themselves who would take over a given contact. Additionally, the CRM used did not allow for proper separation of qualification stages, which hindered sales management and extended response times to inquiries.

As part of the project, we built a system that automatically collects and organizes inquiries, assigns them to the appropriate sales representatives, and transfers qualified contacts to the CRM. We also implemented notifications and reminders to monitor response times, automatic SMS messages to customers, and dashboards enabling sales performance analysis.

The entire project was completed within one month, and the cost of sales automation was EUR 8200. The price included designing the system logic and integration of, among others, n8n, Airtable, WordPress, GetResponse, Livespace, Google Workspace, and SMSAPI. Importantly, thanks to this application of automation, our client reduced the time of the first contact with a lead to 15 minutes, so this project brought not only a reduction of dozens of hours of manual work per month, but also contributed to sales process improvements. The investment in this automation paid off for our client in 3.5 months.

This makes it easier to assess which processes are worth automating first and whether the planned project will bring the company real savings or other business benefits.
