About our client

We were approached by a company that runs sports activities for children and adults and was struggling with an inefficient appointment booking process. The previous methods of handling records were time-consuming, and the tools available on the market did not correspond to the specifics of the company's activities.

Basic problems of our client

Inefficient enrollment process

Customers had to contact the trainers by phone each time to book a class date. Coaches were often unavailable, and much of their workday was spent answering calls, texting back, and manually managing their calendar. This process was cumbersome for both the clients and the staff themselves.

Lack of the efficient tools

The company tested several ready-made enrollment systems, however, no booking management app was able to account for the school's specific policies. These solutions also did not offer flexibility or the possibility of integration with other systems used by the company, which in practice prevented their implementation on a larger scale.

No attendance information

Coaches did not have access to reliable data on class attendance. The lack of reports made it difficult to plan the schedule and assess the profitability of individual hours. It was not known which classes are of the greatest interest and which are conducted with low attendance and do not generate profits.

In response to the customer's problems and challenges, we implemented

Dedicated no/low code app

We have created a personalized records management application that automatically collects customer requests. Attendees can now easily book classes via a form posted on the school's website. Thanks to this placement of entries, potential trainees immediately see the current schedule and available vacancies, which significantly increased the number of registrations.

A framework for scalability and the possibility of future integration

Unlike previously tested ready-made tools, the implemented application is scalable and allows further expansion with new functionalities. The system has been prepared in such a way that further integrations can be easily added in the future, e.g. with mailing tools for automatic sending of newsletters or notifications to existing customers.

Admin panel and attendance reports

The application has an extensive administration panel that allows comprehensive management of reservations: adding new dates, viewing payment statuses and modifying schedules. In addition, we have prepared a dedicated report module, presenting attendance per student and per class in real time. This allows management to make more informed decisions about scheduling.

Benefits of implementation

Thanks to the use of no/low code technology, the application was created faster and cheaper than in the case of traditional development.

The automation of the enrollment process has significantly relieved the burden on coaches and improved the booking experience for clients.

Attendance reports enabled the company to better plan classes and make more accurate business decisions.
